10 Keys For Planning Your First Workshop As A Coach

Stepping up to host your first workshop as a coach, practitioner, therapist or bodyworker can be both exciting – and daunting!

With so much to plan, where do you start?

I love group workshops! Over the last 15 years I’ve hosted many courses and workshops – from 1 hour to full days. Even a 4 day retreat with many AM and PM workshops built in. 

To help you get started, I’ve compiled a list of TEN vital keys that will ensure your coaching workshop is a rewarding and memorable experience for your attendees – and for you!

Let’s get started…

1. Define Your Workshop Goals:

Before you dive into planning, take a moment to get clear on your goals. What do you want your participants to learn? What transformation do you want them to experience? Having a clear vision will guide your planning process and make it easier to create impactful content.

2. Know Your Audience:

Understanding your audience is key to creating a workshop that resonates. What are their needs, struggles, and aspirations? What is their biggest challenge that your unique experience can help them overcome? With this in mind, you can design a workshop that addresses their greatest concerns and provides tangible solutions that they can take into their daily lives.

3. Craft a Workshop Agenda:

Structure is crucial. Craft an agenda that balances educational content, practical exercises, and time for reflection and integration. Remember, change happens in the mind, so make sure your attendees have adequate time to digest and apply what they’ve learning – don’t overwhelm with so much content that they leave feeling more confused than they arrived.

4. Choose the Right Venue:

The venue sets the tone for your workshop. Whether it’s a physical location or an online platform, ensure its easily accessible, comfortable, and suitable for the activities you have planned. Your venue should enhance the learning experience, not detract from it.

5. Plan Ahead:

Hosting a workshop requires a significant amount of coordination. Plan ahead to ensure you have enough time to manage the details like logistics, marketing, and content creation. The more organised you are, the smoother your event will run.

6. Collaborate with Businesses:

Why not add an extra touch of value to your workshop by collaborating with other businesses? Whether it’s product samples, discount vouchers, or gift bags, these partnerships can enhance your participants’ experience and create a sense of community.

7. Promote Your Workshop:

Effective promotion is key to attracting the right attendees. Use a mix of marketing channels – social media, email marketing, and local networking events – to spread the word about your workshop. And remember, it’s not just about selling tickets; it’s about building excitement and anticipation.

8. Practice Active Listening:

As a coach, you know the power of active listening. During your workshop, ensure you’re truly hearing your participants’ questions, concerns, and insights. This will allow you to adapt and tailor the content as you go, ensuring maximum impact. Time for group connection and some spontaneous 1:1 conversation with like-minded people can really strengthen a sense of belonging. 

9. Evaluate and Reflect:

Following your workshop, take the time to reflect on what worked well and what could be improved. Consider gathering feedback from your attendees. This will provide valuable insights for planning your next event so you can celebrate your success and keep improving it for a new group.

10. Follow Up:

The workshop might be over, but your job isn’t! Effective follow-up can enhance the impact of your workshop. Whether it’s through a thank-you email, a one-on-one call, or providing additional resources, this step will help to solidify the relationships you’ve built and reinforce the learning that took place.
